The following Terms and Conditions form the basis of your contract with Expedition Kenya Safari Limited. This agreement and its interpretation shall be subject to the laws of Kenya. Please read them carefully as they set out our respective rights and obligations contact us should you have any questions.
By making a booking, all named persons on the booking agree on behalf of all persons detailed on the booking that:
1. They have read these Booking Conditions and have the authority to and do agree to be bound by them
2. They accept financial responsibility for payment of the booking
3. For items not included in the cost of the booking, these costs are the responsibility of the client including but not limited to , insurance cover for cancellation and curtailment, repatriation costs, medical expenses, emergency evacuation, gratuities and beverages, optional meals and any optional excursion not reflected on the booking reservation.
4. Expedition Kenya Safari Limited acts as agent only for and on behalf of the client in procuring the services. As such, Expedition Kenya Safari Limited shall procure the services for and behalf of the client as an agent for it with relevant third party service providers as applicable.
Expedition Kenya Safari Limited shall, under no circumstances, be liable for the acts and omissions of the relevant third party suppliers concerned.
5. Comprehensive travel insurance is a condition of your booking with us. Your insurance shall fully cover all your personal requirements including pre-existing medical conditions, any special or high-risk activities you decide to undertake, cancellation charges, medical expenses and repatriation in the event of accident or illness etc etc
6. Force Majeure: Expedition Kenya Safari Limited is not responsible for unfulfilled accommodation, services or contractual obligations that result from
force majeure or circumstances beyond control of Expedition Kenya Safari Limited.
Such occurrences include, without limitation, cases of war, insurrection, acts of terrorism, political upheaval,
labour disputes, strikes, laws or regulations, boycotts, epidemics, contagious diseases or other circumstances
of whatever kind or nature that unfavourably affect Expedition Kenya Safari operations.
A safari booking is confirmed once a deposit of 30% of the total tour price is received.
The balance must be paid in full 60 days prior to the safari start date.
Bookings made within 60 days of the safari start date require full payment at the time of booking.
We accept payments via bank transfer, major credit cards.
All bank charges and transaction fees must be borne by the client.
Cancellations must be made in writing and are subject to the following charges:
91+ days before safari: 10% of total safari cost
61–90 days before safari: 30% of total safari cost
31–60 days before safari: 50% of total safari cost
0–30 days before safari: 100% (no refund)
No refunds for no-shows, unused services, or early departures.
Date or itinerary changes are subject to availability and may incur additional costs.
We reserve the right to charge an administrative fee for amendments.
Comprehensive travel insurance (including medical evacuation and trip cancellation coverage) is mandatory for all clients.
Expedition Kenya Safari is not liable for costs arising from illness, injury, delays, or other unforeseen events.
Clients must ensure they are medically fit for safari activities.
Some safaris may involve walking, hiking, or bumpy road travel—please consult with your physician if you have any health concerns.
It is the client’s responsibility to ensure that all necessary travel documents, visas, and vaccinations are in order.
Passport must be valid for at least 6 months beyond the date of entry into Kenya.
Accommodation is provided as specified in the itinerary, based on availability at time of booking.
Meals included will be outlined in your itinerary; special dietary requirements should be communicated at least 30 days prior.
Wildlife sightings cannot be guaranteed.
Safari conditions may vary due to weather, park regulations, or animal movements.
We reserve the right to alter itineraries, accommodation, or transport arrangements due to circumstances beyond our control (e.g., weather, park closures, safety).
Where possible, alternative arrangements of equal or higher value will be made.
Expedition Kenya Safari is not liable for loss, damage, injury, delay, or inconvenience caused by acts of God, natural disasters, government actions, or third parties.
Participation in safaris is at the client’s own risk.
Complaints must be brought to the attention of the tour leader or local representative as soon as possible for resolution.
If not resolved on site, complaints must be submitted in writing within 14 days of the tour’s end.
These terms and conditions are governed by the laws of the Republic of Kenya.
Any disputes shall be resolved through the courts of Kenya.
Clients must follow all instructions from guides and staff for their safety and the safety of others.
Expedition Kenya Safari reserves the right to remove any client from a tour without refund if their behavior jeopardizes the group, violates local laws, or disrespects wildlife or local communities.
Minimum age requirements may apply depending on the type of safari.
Parents/guardians are responsible for supervising their children at all times.
Some lodges or camps may have age restrictions due to safety or tranquility concerns.
Due to space limitations in safari vehicles and light aircraft, luggage is restricted to 15 kg (33 lbs) per person, including hand luggage, in soft bags (no hard suitcases).
Excess luggage may not be accommodated or may incur additional costs.
Expedition Kenya Safari shall not be held liable for any delay, change, or cancellation due to force majeure events such as war, terrorism, pandemics, civil unrest, natural disasters, or government actions.
In such cases, any recoverable costs will be refunded at the discretion of the company, minus unrecoverable expenses.
Expedition Kenya Safari may use images taken during the safari (in which clients may appear) for promotional purposes.
Clients who do not wish to be photographed for marketing must inform us in writing before the safari begins.
Any optional activities not included in the tour price (e.g., balloon safaris, cultural visits) are undertaken at the client’s own risk and expense.
Expedition Kenya Safari is not liable for optional activities provided by third-party operators.
Special requests (e.g., dietary needs, room preferences) must be made in writing at the time of booking and are subject to availability. While we do our best to accommodate, no guarantees can be made.
Group bookings may have specific payment schedules, discounts, and terms.
Private/custom safaris may be subject to different cancellation and amendment policies, which will be outlined in the quotation.
Tipping is not included in the safari price and is at the discretion of the client.
We provide a tipping guide in your pre-departure packet based on local industry norms.
Once your booking is confirmed, you will receive a detailed pre-departure information pack including packing lists, health recommendations, safety tips, and visa guidelines.
Our vehicles are regularly maintained, but due to the remote terrain, mechanical issues may occasionally occur.
In the event of a breakdown, every effort will be made to provide a replacement vehicle or resolve the issue with minimal disruption.
All safaris are led by professionally trained, English-speaking driver-guides.
Clients must follow guide instructions, especially during wildlife encounters, for their own safety and that of the group.
Guides reserve the right to make itinerary adjustments based on road conditions, weather, or wildlife movement.
Excessive use of alcohol or any use of illegal substances during the safari is strictly prohibited and may result in immediate removal from the tour with no refund.
Some lodges/camps may have restrictions on alcohol consumption due to cultural or religious considerations.
Expedition Kenya Safari is not responsible for personal belongings that are lost, stolen, or damaged during the trip.
Clients are advised to carry valuables in their hand luggage and use safes provided in accommodation where available.
Park and conservation fees are included in your tour cost unless otherwise specified.
These fees are set by local authorities and are subject to change without notice. Any increase prior to the start of the safari must be covered by the client.
Clients must comply with all local and international health regulations related to COVID-19 or any other infectious disease.
Failure to meet testing or vaccination requirements may result in denied entry or additional costs, which are the client’s responsibility.
All clients must carry medical and evacuation insurance.
In the event of a medical emergency, Expedition Kenya Safari will assist with coordination of evacuation services but is not financially responsible for medical costs or related transport.
If a listed accommodation is unavailable, a similar or higher standard substitute will be provided.
In rare cases of downgrade (due to factors beyond our control), compensation may be considered at our discretion.
Clients are expected to respect the natural environment, local cultures, and wildlife.
Littering, feeding animals, or disturbing wildlife is strictly prohibited.
Complimentary services (e.g., bottled water, Wi-Fi, sundowners) may vary depending on location and availability.
These services are not guaranteed and do not warrant compensation if unavailable.
Expedition Kenya Safari is not responsible for delays, cancellations, or missed connections related to domestic or international flights.
Any additional costs due to changes in flight schedules are the client’s responsibility.
Some services (e.g., charter flights, balloon safaris, boat excursions) may be provided by independent third-party operators.
Expedition Kenya Safari is not liable for the performance, actions, or negligence of these providers.
If booked through us, pre- and post-safari hotel stays are subject to availability and separate cancellation policies.
Transfers between airports and hotels can be arranged at an additional cost if not included in your package.
Any special discounts or promotions must be claimed at the time of booking and cannot be applied retroactively.
Promotions are subject to specific terms and may not be combined with other offers unless stated.
Personal information collected during the booking process is used solely for operational purposes and will not be shared with third parties, except where necessary to fulfill the tour.
